Process & CRM automation

Less chasing. Better follow-through.

Practical process optimization and automation for repetitive work, disconnected tools and handoffs that rely on someone remembering.

Discuss process & CRM automation

Is automation only for marketing funnels?

No. RIST can help with defined internal workflows such as intake, record updates, notifications, reporting and task routing, as well as lead follow-up and CRM processes.

What the work covers.

Map the actual process

Identify the trigger, inputs, owner, decision rules and exceptions before deciding what to automate.

Connect the right tools

Use appropriate APIs, CRM features or integration tools to move the information the process actually needs.

Handle failures deliberately

Define validation, duplicate handling, retries, alerts and manual fallback paths.

Make the handoff usable

Document the workflow, ownership and support arrangements so the system can be understood after delivery.

What we start with

A specific workflow, the tools involved, sample records with sensitive data removed, access requirements and the person who owns the process.

How we judge progress

Manual steps removed, exception rates, processing time and whether the right person receives a usable next action. Baselines should come from your actual workflow.

How it is scoped

Usually a scoped discovery and implementation project. Monitoring, maintenance and changes can be arranged separately; third-party subscriptions are identified in the proposal.

Scope and costs.

We do not automate an unclear decision simply because a tool can trigger it. High-impact actions, sensitive data and approval requirements must be scoped explicitly.

Before we begin.

Which tools can you work with?

The choice depends on the systems and access available. It may involve native CRM features, APIs, Make, Zapier, n8n or a custom integration.

Does it need AI?

No. Rule-based automation is often the clearest answer. AI is useful only when the task, error tolerance and review process justify it.

What happens when something breaks?

The scope should define failure alerts, a responsible owner, a manual fallback and whether ongoing monitoring is included.
